Getting started with Fractional Workspace.

This guide covers the full workflow, from setting up your offer library to running a weekly client update. End to end takes about 15 minutes the first time.

The core workflow

Set up your offer library

Before anything else, go to Settings → Offer Library. Your role determines which templates show up first: CMO, CFO, COO, CRO, CEO, GTM, or Agency. Load the ones that fit your practice, customize pricing and deliverables, or add your own. Once set up, proposals pre-fill from these automatically.

Add your first prospect

Go to Pipeline → New Opportunity. Fill in the company, contact, website, and email, then paste your notes. A LinkedIn message, call notes, an email thread, even a voice memo transcript. The AI analyzes fit, urgency, and budget confidence, recommends an offer from your library, flags risks, and suggests a next step. Messy notes work fine.

Review the analysis and save to pipeline

Once the analysis runs, review the fit score, recommended offer, key risks, and open questions. The AI picks from your actual offer library, so the recommendation is something you can actually deliver. Edit anything that doesn't look right, then save it to your pipeline. It appears on your dashboard with a next action and due date.

Create a proposal from the opportunity

From the opportunity detail page, click 'Create proposal →'. The form pre-fills from your analysis, including contact details, executive summary, scope, phases, and pricing all drafted. Review and edit, then save it.

Share the proposal with your client

From the proposal page, copy the share link and send it to your client. They read the full proposal and accept it by entering their name, with no DocuSign and no PDF back-and-forth. When they accept, the opportunity automatically advances to Won on your pipeline.

Start the engagement

When a proposal is accepted, or when you manually move an opportunity to Won, a green 'Start engagement →' banner appears. Click it to open the new workspace form, pre-filled with the client, scope, objectives from deliverables, and timeline from the proposal. Review, set your start date, and create it.

Run the engagement day to day

Your workspace is now your operating system for the client. Add action items with due dates, and overdue ones surface on your dashboard automatically. Log decisions as they happen. Save meeting notes after every call by typing them, pasting them, or uploading a PDF or Word doc. The workspace keeps the full engagement history: original discovery notes, AI analysis, and the signed proposal are all one click away.

Generate your weekly client update

Click 'Generate weekly update →' from the workspace. The AI reads your objectives, decisions, meeting notes, and workspace context and drafts a clean, professional update. Add any notes about what happened this week, review the draft, edit it, then mark it sent. The next update date advances automatically by seven days.

Tips worth knowing

Your offer library shapes the analysis

The AI recommends offers from your library, not generic suggestions. The more complete your library, the more useful every analysis becomes. Set it up once and it pays off every time.

Meeting notes feed the weekly update

Save notes after every client call by typing, pasting, or uploading a file. When you generate the weekly update, the AI pulls from those notes automatically. The update practically writes itself.

Action items show up on your dashboard

Any action item you add to a workspace with a due date will surface on your dashboard when it's overdue. You'll never lose track of a client commitment again.

The decision log protects you

Log every significant decision with context: what was decided, why, and when. When a client misremembers scope or asks why something was done a certain way, the decision log is your answer.

The engagement history is always there

Every workspace has a collapsible Engagement History section with the original discovery notes, full AI analysis, and complete proposal details. Six months in, you can pull up exactly what was agreed and why.

The analysis gets better with context

Company stage, what they're trying to accomplish, budget signals, and how you met them all matter. The more specific your prospect notes, the more accurate the fit score, urgency signal, and offer recommendation.
